JOURNAL OF APPLIED CLINICAL MEDICAL PHYSICS

AIMS & SCOPE

JOURNAL OF APPLIED CLINICAL MEDICAL PHYSICS is an international publication dedicated to clinical medical physics. JACMP welcomes original contributions dealing with all aspects of medical physics from scientists working in the clinical medical physics around the world. JACMP accepts only online submission. The submission process is compatible with version 3.0 or later of Internet Explorer and Netscape Navigator, and with most other modern web browsers.

JACMP will publish:

Original Contributions: Peer reviewed, investigations that represent new and significant contributions to the field.

Review Articles: Reviews of major areas or sub-areas in the field of clinical medical physics. These articles may be of any length and are peer reviewed.

Technical Notes: These should be no longer than six double-spaced typewritten pages, including key references.

Letters to the Editor: Comments on papers published in JACMP or on any other matters of interest to clinical medical physics. These should not be more than two pages long (including the literature) and their publication is only based on the decision of the editor, who occasionally asks experts on the merit of the contents.

Book Reviews: The editorial office solicits Book Reviews.

Announcements of Forthcoming Meetings: The Editor may provide notice of forthcoming meetings, course offerings, and other events relevant to clinical medical physics.

INSTRUCTIONS TO CONTRIBUTORS

All original articles submitted for publication will be refereed by at least two experts in the field. The JACMP uses a double-blind review process to assure integrity in the review process. The authors and reviewers do not know one-another’s identity. An Associate Editor may not serve as a Reviewer.

AUTHORS’ PROFESSIONAL AND ETHICAL RESPONSIBILITIES

Authorship
Only those persons who contributed directly to the intellectual content of the paper should be listed as authors. Authors should meet all of the following criteria:

Conceived and planned the work that led to the paper.

Wrote the paper, or reviewed successive versions and took part in the revision process.

Approved the final version.

 

 

Holding positions of administrative leadership, contributing patients, and collecting and assembling data, are not, by themselves, criteria for authorship. Other persons who have made substantial, direct contributions to the work but cannot be considered authors should be acknowledged with their permission. Authors must disclose any financial interests, direct or indirect that might affect the conduct or reporting of the submitted work. This disclosure should be made in Comments to the Editor when the manuscript is submitted.

Project Funding
Sources of outside support for research, including funding, equipment, and drugs, must be named in the contributed article. The role(s) of the funding organization, if any, in the collection of data, its analysis and interpretation, and in the right to approve or disapprove publication of the finished manuscript must be described in the Methods section of the text.

Previous or Duplicate Publication
In Comments to the Editor, give full details on any possible previous or duplicate publication of any content of the paper. Previous publication of a small fraction of the content of a paper does not necessarily preclude its being published, but the Editors need information about previous publication when deciding how to use space in the Journal efficiently; they regard failure of full disclosure by authors of possible prior publication as a breach of scientific ethics. Please send a copy of any document that might be considered a previous publication via email to the Editor-in-Chief, or provide this document during the submission process as a Supplementary file.

MANUSCRIPT PREPARATION OVERVIEW

All Papers, Letters to the Editor, Book Reviews, Technical Notes, and Review Articles must be prepared by the author according to General Style (grammar) and Mathematical Expressions (equation) sections of the American Institute of Physics Style Guide, which can be found at http://www.aip.org/pubservs/style/4thed/toc.html. In addition, American English is the standard communication language for the JACMP. References, including on-line references must be prepared according to instructions found in this document and based on the style specified by the National Library of Medicine and the Uniform Requirements agreement. Do not neglect to familiarize yourself with the requirements of the AIP style guide and this Manuscript Submission guide. Your manuscript may be returned unless you prepare it properly.

Full Length Papers:
Full-length papers should be, typed double-spaced, with an abstract summarizing briefly the essential contents (see below).

(1) The name, address, and email, of the author to whom correspondence must be sent should be listed on the title page. However, that title page should not be included in the manuscript until after the paper is accepted for publication.
(2) Copies of any published reports that may duplicate material in the submitted manuscript must be attached as Supplementary files.
(3) Written permission of author(s) and publisher(s) to use any previously published material (figures, tables, or quotations of more than 100 words) must be attached as Supplementary files, unless such files contain Author identification. Otherwise, Authors should email electronic versions (.pdf) of these permissions to the Editor-in-Chief. Authors should retain an additional electronic copy of the manuscript and figures for their own files.

If any of the attachments above contain a reference to the author, the attachment should not be uploaded into the system. Instead, provide an electronic copy of the attachment to the Editor-in-Chief at the time of submission.

Letters to the Editor:
Letters dealing with published articles or matters of interest to researchers are invited. They should be short (no more than two pages, key references included), typed double-spaced, and include references where appropriate. Where a published article is involved, the original author(s) will be invited to submit a response.

Book Reviews:
Authors are invited to submit suggestions for book review to the Editorial Office. The editorial office solicits Book Reviews.

Technical Notes:
Technical notes should be organized in the following format: Introduction, Methods, Results, Discussion, Acknowledgments, Abbreviation list, References, Figure legends, and Tables. Figures must be submitted as separate Supplementary files. The original should be at least 3 inches and no more that 5 inches in the greatest dimension. Acceptable formats are JPG or GIF with between 100 and 150 pixels per inch in both dimensions for images. BMP, RTF and TIF images are not allowed. Monochrome images should be saved in grayscale mode; color images should be RGB. If you are scanning illustrations, scan on a flatbed scanner at 100 –150 dpi for images. Do not use higher resolutions because the required resizing may blur the image. The size of a figure should be commensurate with the amount and value of the information conveyed by the figure. Only single layer images are acceptable; this is to prevent skewing if the images need to be resized. Authors may insert a short summary/conclusion section following the discussion section if they wish. In some cases, results and discussions sections may more appropriately be combined than separated (at the author’s discretion). Technical notes should be no longer than 6 double-spaced typewritten pages including figures, tables and key references. Technical notes do require an abstract. Other descriptive headings and subheadings may be used if appropriate. Every effort should be made to avoid jargon, to spell out all nonstandard abbreviations the first time they are mentioned, and to present the contents of the study as clearly and concisely as possible.

Review Articles:
Review articles should be organized in the following form: Outline (using main and second-order section headings), Introduction, Text, Conclusions or Summary, Acknowledgments (optional), Appendices (optional), List of Abbreviations, References.

Nomenclature and Abbreviations:
Where possible, nomenclature and abbreviations should be in accordance with the AIP Style Guide and internationally agreed rules.

MANUSCRIPT PREPARATION DETAILS

IMPORTANT – Author identification must be removed from all parts of the submission. ";Author"; and year must be used in the bibliography and footnotes, instead of authors' names, titles, etc. The author's name has been removed from the document's Properties, which in Microsoft Word is found in the File menu. Select File, Properties, Summary, and delete the name found following “Author.”

Paper size should be US Letter, 21.202 cm ´ 27.83 cm (8.5 in. ´ 11 in.). The printing area should be set to 13.28 cm ´ 21.54 cm (5.25 in. ´ 8.5 in.). The top margin on the title page should be 5.08 cm (2 in) deep; all other pages, the top margin should be 2.54 cm (1 in.). The other (right, left, and bottom) margins should all be 4.11 cm (1.625 in.). All fonts or text should be some version of Times New Roman. Text should be 10 point, the title should be 18 point, the authors’ names should be 10 point, and the affiliation and references should be 10 point. Do not hyphenate at the end of a line. Use double spacing throughout, including the references and figure legends. Organize the manuscript in the order indicated below, with each component beginning on a separate page. Use bold font to show headings and subheadings throughout the manuscript. Sections in the Body of Manuscript do not need to begin on a separate page. Figures must be submitted as separate Supplementary files. The original should be at least 3 inches and no more that 5 inches in the greatest dimension. Acceptable formats are JPG or GIF with between 100 and 150 pixels per inch in both dimensions for images. BMP, RTF and TIF images are not allowed. Title Page:
IMPORTANT – The Title Page (page one) must not be included with the original submission. It should be placed at the beginning of the manuscript only after it has been accepted and the author is instructed to upload a version containing the Title Page.

Page 1 should include the following:
(1) Center the title of the article (80 spaces maximum), use 18-point type. Capitalize the first word only.
(2) Center the authors’ full names [first name, middle initial(s), and surname]. Use 10-point font in bold. Author names should appear as used for conventional publication, with first and middle names or initials followed by surname. Every effort should be made to keep author names consistent from one paper to the next as they appear within the Journal of Applied Clinical Medical Physics.
(3) Center author affiliations [the name of department or division (if any), institution or organization, city, and state or country where the work was done]. Abbreviations should not be used. Use 10-point Italic font for institutional addresses. If multiple authors have the same affiliation, one listing of the affiliation should be used, preceded by the full list of those authors on the line above. Center the email address of author(s), in 10 point Italic font below the affiliation, with a blank line below. For example:

(4) A suggested running title of not more than 30 spaces should be provided two lines below the email address of the corresponding author in 10-point normal font.

Abstracts and Key Words:

IMPORTANT – The original submission begins with the Abstract and Key Words (Page 2) and contains no author identification. Page 2 should include the title of the article, centered in 18-point normal font, followed by an abstract. Abstracts are not required for Letters to the Editor. Begin the section with the word “Abstract” in bold font, 10-point type, followed by a colon. Start the abstract text (not in bold) two spaces after the colon, using 10-point font. Indent left and right margins 1.27 cm (0.5 in.). Alignment should be double (left and right) justified. The abstract should be limited to approximately 300 words. It should be an explicit summary of the paper that states the problem, the methods used, and the major results and conclusions. Following the abstract, the author should list up to five key words or phrases for indexing that would allow it to be found in a cursory computerized search. There should be one line space between the abstract and the key words. The line after the key words should list the appropriate Physics and Astronomy Classification Scheme (PACS) numbers. Text:
All manuscripts should be typed on one side of the paper, double-spaced in 10-point font. To facilitate the review process, manuscripts must be in Microsoft Word format (.doc, version 2 and above) or Rich Text Format (.rtf). This applies to both Windows and Macintosh platforms. If you are using any other word processing program, you must save the file as .rtf. Special or mathematical characters and Greek letters that are not on a standard keyboard must be created using the Symbol font. Do not imbed figures or tables into the text. Figures will be submitted as separate files during Step 4 of the submission process (Upload a Supplementary File). See below (Figures and Tables) for more information.

Introduction – The introduction should be written from the standpoint of researchers without specialist knowledge in that area and must clearly state – and, if helpful, illustrate – the background to the research and its aims. The section should end with a very brief statement of what is being reported in the article.

Methods – This should be divided into subsections if several methods are described. Use the letters A., B., C., etc., to designate subsections and follow with a short subsection title. Use numbers and small letters to further divide sections, but only if needed. Use bold font to indicate the subsection title. Example: A. Linear Accelerators would be used for the first subdivision. A.1. Linear Accelerators would be used if two subdivisions were required and A.1.a. Linear Accelerators would be used if three subdivisions were required. Include a discussion of materials if indicated.

 

 

Results and Discussion – This may be combined into a single section or presented separately. They may also be broken into subsections with short, informative headings.

Conclusions – This should state clearly the main conclusions of the research and give a clear explanation of their importance and relevance. Summary illustrations may be included.

Page numbers:
The author should insert page numbers in the manuscript sent for review. These will facilitate the comments by reviewers. These temporary page numbers are inserted at the bottom of each page, in the footer.

Mathematics:
Equations should be centered, unless they are so long that less than 1 cm will be left between the end of the equation and the equation number, in which case they may run on to the next line. Equation numbers should appear on the next line. For very long equations, the right side of the equation should be broken into approximately equal parts and aligned to the right of the equal sign. The equation number should appear only at the right hand margin of the last line of the equations. All equations should be numbered in the order in which they appear.

Abbreviations and Symbols:
Do not use abbreviations unless necessary; do not explain abbreviations for units of measurement [e.g. 2 Gy, not 2 Gray, 3 mL, not 3 milliliters (mL)] or standard scientific symbols [Na, not sodium (Na)]. Abbreviate units of measurement when they appear with numerals (e.g. volume measured 10 mL, not 10 milliliters). Use abbreviations in figures and tables to save space. Explain any non-standard abbreviations used in the figure legend or table footnote.

 

 

Units of Measurement:
Use SI units throughout the manuscript, except as indicated below. If you indicate units other than SI units, they may be indicated in parentheses after the SI unit. There are some modifications, such as for specification of brachytherapy sources, which should be in terms of air-kerma strength, defined as the product of air-kerma rate in free space and the square of the distance of the calibration point from the source center along the perpendicular bisector (AAPM Report Number 21). The recommended units for air kerma strength are Gy m2 h-1. Where common laboratory practice employs conventional units, these may be employed followed by the SI units in parentheses.

Acknowledgments:
Acknowledgments should be included before the References section. The section title should read “Acknowledgments” in 10-point bold font. The body of the section should follow the font and layout of the body of the paper (10-point Times New Roman). Authors should obtain permission to acknowledge from all those mentioned in the Acknowledgements.

References:
Do:

Insert references as endnotes in the body of the manuscript.

Number references in the order in which they are first cited in the text.

Use Arabic numerals as the numbering system.

Use the reference style of the National Library of Medicine, including the abbreviations of journal titles. (See http://www.nlm.nih.gov/pubs/pubcat.html#R )

Provide complete data for each reference.

Cite symposium papers only from published proceedings.

Do not cite an article or book accepted for publication but not published.

Do not use ibid or op cit.

 

All references must be numbered consecutively, in the order in which they are cited in the text. Please avoid excessive referencing. Please do not use automatic numbering, such as Insert Footnote (select Endnote). The reference numbers must be finalized and the bibliography must be fully formatted before submission. Unpublished data, unpublished abstracts and personal communications should not be included in the reference list. Footnotes are not allowed. Journal abbreviations follow Index Medicus/MEDLINE. There should usually be no more than 50 references per article. The sample references below are based on the style specified by the National Library of Medicine and the Uniform Requirements agreement.

3. Online References The National Library of Medicine has published a guide for citing online sources. This guide is in pdf format and can be downloaded at:

The basic rules of citing, i.e., what goes into a citation, do not differ markedly for Internet items than for print. There is still an author or organization with responsibility for the item, a title, a place of “publication”, a publisher, a date of publication, and the extent of the item (i.e., number of pages or the equivalent). Anyone preparing a citation of an Internet document should attempt to locate all of these elements. Simply adding a URL or other electronic address to a title is not sufficient. Internet sites disappear with great frequency and the user of a citation must be given some other identifying information. At present, the majority of the articles retrieved from online publications in medicine are exact duplicates of those in their print versions and are unlikely to have additional analyses and data attached. This may change in the future. In the meantime, if you have viewed an article only in electronic form, you should add in brackets after the article title “Electronic version” as in the following example:

If you are referencing an online article that you believe has been changed (e.g., the format differs from the print version or page numbers are not indicated) or that includes additional data or commentaries, you will need to add the date you retrieved the document and the URL.

If you are retrieving an article in an Internet-only journal, such as the JACMP, the citation follows the following format:

It is not appropriate in an archival journal to cite articles in newsletters, stand-alone documents where the author is not identified, or documents available on a corporate or university program/department Web site that have not been peer-reviewed.

Figure Legends:
Legends should be typed in 10-point font, double-spaced, and numbered with Arabic numerals corresponding to the illustrations and submitted on a separate page following the References and before the Tables. Center the figure captions on the page. Longer figure captions should be indented 1.27 cm (0.5 in) on both margins. The abbreviation “Fig.” for figure should appear first followed by the figure number and a period. A short title of the figure follows the figure number. A detailed legend may follow the figure title, with a maximum length of 300 words. When symbols, arrows, numbers, or letters are used to identify part of the illustrations, each should be explained clearly in the legend. The legends should permit the figures to be understood without reference to the text. If the figure has been previously published, the author should include a credit line with the figure. In addition, the author should attach a permission letter as a Supplementary file to the submission.

Tables:
Tables should be centered and numbered consecutively on a separate page(s) following the Figure Legends page. Create the table using the tools in the word processor. Do not create tables using spreadsheet or other software packages and imbed the table into the manuscript. Each table should be numbered in sequence using Arabic numerals (e.g. Table 1,2,3 etc.) Tables should also have a title that summarizes the whole table, maximum 15 words. Short table headings (10 point font) should be centered above the table. Longer headings should have margins that match the table width. Use horizontal lines in tables to delimit the top and bottom of the table and column headings. Detailed explanations or table footnotes should be typed directly beneath the table. Footnotes to a table should be indicated by superscript, lowercase letters. Leave three line spaces between the bottom of a table and the following table heading. Authors are asked to keep each table to a reasonable size; very large tables packed with data, simply confuse the reader. Each table and every column should be provided with an explanatory heading, with units of measure clearly indicated. The same data should not be reproduced in both tables and figures. Tables (along with their footnotes or captions) should be completely intelligible without reference to the text. Original text (not a graphics or picture file) should be submitted.

Figures:
Each figure must be provided as a separate Supplementary file in the submission process. Files should be titled and numbered consecutively. Figures should be professionally drawn or photographed. All photographs must be in digital form in a standard graphics format. Figures must be submitted as separate Supplementary files. The original should be at least 3 inches and no more that 5 inches in the greatest dimension. Acceptable formats are JPG or GIF with between 100 and 150 pixels per inch in both dimensions for images. BMP, RTF and TIF images are not allowed. Monochrome images should be saved in grayscale mode; color images should be RGB. If you are scanning illustrations, scan on a flatbed scanner at 100 –150 dpi for images. Do not use higher resolutions because the required resizing may blur the image. The size of a figure should be commensurate with the amount and value of the information conveyed by the figure. Review and Production Process:
All manuscripts are peer reviewed. All material accepted for publication is subject to copyediting. Authors will receive galley proofs of their article before publication and should answer all queries. Any corrections to proofs must be restricted to printer’s errors; no rewriting can be allowed. Reprints may be purchased using the reprint order form that is sent with the page proofs.

Page Charges:
At present there are no page charges for papers submitted to the JACMP. The upper limit on length of a paper is equal to approximately 12 manuscript pages, including tables and references (two pages for Letters to the Editor). This limit may be exceeded at the discretion of the Editor-in-Chief.

On-Line Submission:

Please note that the guidelines below contain information pertaining to online manuscript submission. The following information will help you prepare your manuscript for electronic submission to Journal of Applied Clinical Medical Physics web-based peer review system. Submit manuscripts to www.jacmp.org. You will be able to monitor the progress of your manuscript through the peer review process.

Formatting and Submitting On-line:

User Account Information:
Log on to the Journal of Applied Clinical Medical Physics at www.jacmp.org. Select the “Login” page. All authors, reviewers and editors must log in to use the system. If you are already registered with the system, you may login with a username and password. Select “User” on the upper bar, and under Function, select “Author” to submit an article or track the status of your current submissions.

If you want to submit an article and do not have a username and password, you must select the “Register here” link to log in. Under Online Submissions, you should select “Go to Registration” link to register your username and password. After this, follow the instructions above to begin article submission.

After selecting “Author”, you may submit an article by selecting “Submit” under the Function column. If you wish to track articles already submitted, select “Track” under the Function column. If “Submit” is selected, the next page begins a five-step process to submit a manuscript online.

Step 1: Start Submission. Under “A. Journal Section”, a drop down menu allows the selection of type of article. The author should complete the submission checklist indicating the article is prepared in the proper format and has not been previously published. “Comments to the Editor” about aspects of this article may be offered, but this is optional. Select Save/Continue to proceed to the next section.

Step 2: Submission Metadata. The first, middle and last name of each author, affiliation, and email address are required for each author. An optional biographical statement may be added as well for each author. Spaces are provided for the Submission Title and Submission Abstract. The author should choose the PACS classification for the manuscript. (http://www.aip.org/pacs/pacs08/pacs0880.html) A space is provided for the author to name Agencies that provided support for the work presented in the submission.

Step 3: Submission Upload. Four steps are required to submit the manuscript, which must be on the hard drive of the computer. 1. Click Browse which open a Choose File window for locating the file on the hard drive. 2. Locate the submission file and highlight it. 3. Click Open on the window, which places the address in the box on this page. 4. Click Upload on this page, which uploads the file from the computer to the journal’s website and renames it following the journal’s system. The file can be viewed by clicking on the file name. A new or revised file can be uploaded, deleting the one that currently appears. After clicking “Upload”, the upload window clears; click Save/Continue to move to the next step.

Step 4: Supplementary Files. An important feature of this publishing system is the ability to upload separate graphics files. Having graphics files separate facilitates the HTML markup of the article for online viewing. An additional advantage is its ability to post and index any number of supplementary files for each published investigation. These might include research instruments, data sets, information sources, etc. In addition, special permission to use figures, copyright release statements, may be included.

Step 5: Conformation. This step allows the author to review the submission for completeness, note the file(s) name change in the system, note the submission file size, and upload date. The author should click “Finish Submission” to confirm the upload.

When you prepare a revised version of your manuscript, it is essential that you carefully follow the instructions given in the Editor's letter regarding preparation of the same, in particular preparation of the annotated copy. Failure to do so will cause a delay in the review of your revision and may result in return of the revision to you, without review, for proper preparation.

Revisions received more than 3 months after requested may be sent for another review cycle, at the Editor's discretion. If a revision is not received within 6 months after requested, your file may be closed.

Copyediting:
After final acceptance of your manuscript, it will be copyedited before publication to conform to Journal of Applied Clinical Medical Physics style and usage. IMPORTANT – the author must add page one, containing author identification, to the manuscript before the copy editing process. This editing may be substantive. It is the responsibility of the corresponding author to read the copyedited manuscript he or she will receive and to answer all queries fully.

 

 

Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.

  1. The submission has not been previously published nor is it before another journal for consideration; or an explanation has been provided in Comments to the Editor.
  2. The submission file is in Microsoft Word or RTF document file format and uses Times New Roman font or equivalent.
  3. All URL addresses in the text (e.g., http://pkp.ubc.ca) are activated and ready to click.
  4. The text is double-spaced; uses a 10-point font; employs italics, rather than underlining (except with URL addresses); with figures and tables placed at the end of the text, rather than within.
  5. The text meets this journal's formatting requirements outlined in the Author Guidelines found on the front page of the JACMP web site. If the journal section is peer reviewed, author identification has been removed, and ";Author"; and year have been used in the bibliography and footnotes, instead of authors' names, titles, etc. The author's name has been removed from the document's Properties, which in Microsoft Word is found in the File menu.
  6. I have provided figures to be uploaded as Supplementary Files in JPG or GIF with 100 - 150 pixels per inch (color) or 100 - 150 dpi (grayscale). Monochrome images have been saved in grayscale mode; color images are in RGB. I have included no BMP, RTF or TIF images. Images are at least 3 inches and no greater than 5 inches in the greatest dimension.
